- Office Administration: Managing correspondence, filing, and ensuring the training centre’s database is up to date.
- Technical Support: Using MS Office (Word, Excel, PowerPoint, and Access) to prepare reports and training materials.
- Process Management: Learning and interpreting technical procedures to assist the training team.
- Team Collaboration: Supporting the Sales and Client Services teams when deadlines are tight.
Career Advice: Shining in a Professional Environment
1. First Impressions Matter
As a receptionist, you are the first person a client sees. Being “presentable” isn’t just about clothes; it’s about your energy and organization. Keep your desk tidy and always have a notepad ready to take messages.
2. Master the “Gatekeeper” Skills
A great administrator knows how to filter information. You will learn how to prioritize urgent emails versus general inquiries. Developing this “triage” skill early will make you an indispensable employee.
3. Excel is Your Best Friend
In a training centre, tracking student progress and attendance is critical. If your Excel skills are basic, use this internship to master VLOOKUPs and Pivot Tables.
Possible Interview Questions
- “How do you handle a situation where you have a long queue at reception and the phone is ringing constantly?”
- Answer: “I stay calm and prioritize. I would acknowledge the people in the queue so they feel seen, answer the call professionally to put them on a brief hold or take a message, and then systematically assist each person one by one.”
- “Gijima deals with technical ICT processes. How do you handle instructions you don’t immediately understand?”
- Answer: “I am meticulous and attentive to detail. I would take notes, ask clarifying questions to ensure I interpret the process correctly, and double-check my work against the standard operating procedure.”
- “What does ‘social responsibility’ in the context of Gijima’s Youth Development mean to you?”
- Answer: “It means creating opportunities for graduates like myself to bridge the gap between tertiary education and the workplace, ultimately contributing to the growth of the South African economy.”
