Remote : Virtual Assistant – VirtuHire (Construction Focus)

Location: Remote (Home-based) Hours: 17:00 – 03:00 SAST (Monday to Friday) Sector: Construction & Project Administration Core Focus: Accounts Receivable & Client Onboarding

The Reality of the Shift: Working PST

This role follows Pacific Standard Time (PST). You will be starting your workday as most South Africans are finishing theirs.

  • Benefit: You avoid all daytime traffic and errands; the salary for US-based hours often carries a premium.
  • Challenge: You must have a dedicated, quiet workspace where you can work through the night without interruption.

Key Responsibilities & Workflow

  • Financial Gatekeeping: You are responsible for collecting deposits for construction projects. This requires a professional but firm communication style.
  • The “Onboarding” Specialist: You take a client from “signed contract” to “active project” by explaining the technical next steps.
  • Bureaucracy Management: A unique part of this role is uploading documents to City Rebate Portals. This involves strict deadlines and very specific filing requirements.
  • CRM Mastery: You will live in a custom CRM. You aren’t just “inputting data”; you are managing the lifecycle of a construction project.

Career Advice: Dominating the “Night Shift” Role

1. Highlight Your Construction “Lingo”

Even if you haven’t worked in construction, show that you understand the stakes. Construction projects rely on Cash Flow. Mentioning that you understand the importance of collecting deposits before a crew is sent to a site will impress the hiring team.

2. The “Rebate” Specialist

City rebate portals are often complex and government-run. If you have experience dealing with South African entities like SARS or the CIPC, highlight your ability to navigate “fussy” digital portals and upload documents accurately.

3. Internet & Power Reliability

Since you are working until 3 AM, your internet must be flawless. In your application, proactively mention your Power Backup (Inverter/UPS) and Stable Fibre connection. This is often the #1 concern for US clients hiring in SA.

Interview Prep: Possible Questions

  • “This role requires handling Accounts Receivable. How do you handle a client who is hesitant to pay a deposit?”
    • Answer: “I focus on the value and the timeline. I explain that the deposit secures their spot on the construction schedule and allows for the procurement of materials, ensuring their project starts on time without delays.”
  • “How do you stay organized when managing multiple client onboarding processes simultaneously?”
    • Answer: “I rely heavily on the CRM’s task and notification system. I treat my CRM as the ‘Single Source of Truth’ and ensure every interaction is logged immediately so no client falls through the cracks.”
  • “How do you manage your energy and focus while working the 5 PM to 3 AM shift?”
    • Answer: “I maintain a consistent sleep schedule during the day and have a dedicated home office that is separate from my living space. I treat the 5 PM start exactly like a traditional 9 AM start to maintain professional discipline.”

Application Requirements

  • Must-Have: Previous CRM experience (Salesforce, HubSpot, or custom proprietary systems).
  • Communication: Exceptional verbal and written English (US-centric tone).
  • Personality: Self-driven. Since the team is in a different time zone for most of your shift, you must be able to solve problems without constant supervision.
