Operating out of the Pretoria Specialist Branch, the Legal Assistant plays a pivotal role in ensuring smooth legal administration and client consultation. Working directly alongside Legal Counsellors, you will be on the front lines of client engagement—helping policyholders navigate paralegal solutions within the company’s Membership Agreement guidelines.
Key Responsibilities & Operational Scope
The Legal Assistant delivers critical support across five primary legal and administrative functions:
1. Member Consultation & Legal Guidance
- Client Engagement: Attend to walk-in or calling members, capturing their legal matters and offering preliminary legal advice and paralegal solutions in line with policy parameters.
- Assistance: Assist Legal Counsellors during complex consultations by drafting intake notes and gathering supporting evidence.
2. File & Case Management
- Updating Records: Ensure all physical and digital case files are updated regularly with contemporary legal notes, court documents, and correspondence.
- Tracking: Systematically track the progression of open legal claims to guarantee timely resolution.
3. Correspondence Dispatch & Communication
- Mail Operations: Process, log, and dispatch all incoming and outgoing legal letters, emails, formal demands, and court notices for Legal Advisors.
- Drafting Support: Draft standard routine legal notices, settlement confirmations, and follow-up letters.
4. Client Feedback & Quality Assurance
- Case Updates: Proactively communicate with policyholders to provide clear, regular updates regarding the status of their legal matters.
- Client Care: Manage client expectations with patience and empathy while upholding strict service standards.
5. General Branch Administration
- Workflow Support: Perform general administrative tasks associated with active legal files, scheduling appointments, and maintaining branch compliance.
Candidate Profile & Minimum Entry Requirements
To qualify for this permanent placement, applicants must meet the following criteria:
Educational Baseline
- Matric / Grade 12 Certificate.
- A completed National Certificate or National Diploma in Paralegal Studies (or equivalent legal qualification).
Required Experience
- External Applicants: Minimum 1 year of practical experience working within a legal office, law firm, or legal insurance environment.
- Internal Candidates / Legal Interns: Must have completed a minimum of 6 months as a Legal Intern, backed by a fully signed-off Portfolio of Evidence (POE) and completion of all core internal legal training modules.
Core Technical & Knowledge Competencies
- Computer Literacy: Proficient in MS Office (Word, Outlook, Excel) and comfortable navigating specialized legal database/case management software.
- Legal Knowledge: Sound understanding of South African paralegal practices, consumer rights, contract basics, and labor law principles.
- Communication: Fluent, professional written and verbal communication skills in English (additional local language fluency is an advantage).
